Privacy policy.

1. Who we are

InfoMax Consulting Inc. ("InfoMax," "we," "us," or "our") is a motor-carrier compliance consultancy headquartered in Naperville, IL, United States. We provide compliance consulting, audit preparation, DataQ filings, driver qualification file management, CSA score management, and related services to motor carriers nationwide.

This Privacy Policy applies to infomaxci-landing-production.up.railway.app, our marketing site, and to direct communications you have with us by phone, email, or text message.

2. Information we collect

We collect the following categories of information:

  • Information you submit on our forms. When you fill out our contact form, audit-readiness diagnostic, or compliance-brief signup, we collect your name, email address, phone number (if provided), company name, fleet size, and any message you send us.
  • Information from public records. When you use our DOT Carrier Snapshot tool, we display public information from the FMCSA SAFER database (via SaferWebAPI). We do not collect, store, or sell any personally identifiable information about the carriers you look up.
  • Communications with us. When you call, email, or text us, we keep records of those communications for business operations, audit trail, and to respond to your questions.
  • Automatically collected data. When you visit our site, our analytics tools (Google Analytics 4, Plausible, or similar) collect anonymized usage data — pages visited, referring source, device type, country. We do not collect IP addresses for marketing purposes.

3. How we use your information

  • To respond to your inquiries and deliver consulting services.
  • To send you scheduled communications (e.g., audit-readiness reports, the quarterly Compliance Brief if you opted in).
  • To send SMS / text messages when you have opted in (see Section 4 below).
  • To comply with legal, regulatory, and audit obligations.
  • To improve our website, tools, and educational content based on aggregate usage data.

We do not sell, rent, or trade your information to third parties for marketing purposes.

4. SMS / text messaging program

If you provide your mobile phone number through our contact form or other web form, you may receive SMS / text messages from us for the following purposes:

  • Conversational messaging — direct two-way communication with one of our consultants regarding your compliance question, audit, or engagement.
  • Service updates — schedule reminders for calls, status updates on filings, audit-prep reminders.

Consent. By submitting your phone number on our web forms or by texting us first, you agree to receive SMS messages from InfoMax Consulting Inc.. Your consent to receive SMS messages is not a condition of any purchase or service.

Frequency and rates. Message frequency varies based on your engagement with us and your conversation needs. Message and data rates may apply. Your mobile carrier may charge you for messages you send and receive.

Opt-out. Reply STOP to any message at any time to stop receiving SMS messages from us. After you reply STOP, you will receive a single confirmation message and no further messages until you re-opt-in.

No third-party sharing of phone numbers. We do not share, sell, or transfer your mobile phone number, SMS opt-in consent, or SMS conversation content to any third party for marketing purposes. Phone numbers and SMS messaging consent are handled exclusively by InfoMax Consulting Inc. and our designated SMS messaging provider (currently RingCentral) for the sole purpose of delivering the messages you have opted in to receive.

5. Cookies and analytics

Our website uses cookies and analytics tools to understand how visitors interact with the site. These tools may collect anonymized information about your browser, device, and navigation patterns. We do not use these tools to build personal profiles or target you with advertising on other sites.

You can disable cookies in your browser settings. Disabling cookies will not prevent you from using the site, but some features may not work correctly.

6. Third-party service providers

We use the following third-party service providers to operate our business. Each provider has access only to the information necessary to perform its function and is contractually obligated to protect that information:

  • Resend — for sending transactional emails (contact form responses, diagnostic reports).
  • Telegram — for internal staff notifications when leads come in. Your message content is forwarded to our internal team chat.
  • RingCentral — for SMS messaging when you opt in.
  • SaferWebAPI — third-party JSON wrapper for the public FMCSA SAFER database. We do not transmit any of your information to SaferWebAPI; only the USDOT numbers you choose to look up are sent.
  • Railway — our hosting and infrastructure provider.
  • Google Analytics 4 / Plausible — for anonymized site analytics.

7. Data retention

We retain the information you submit through our forms for as long as needed to operate our business and comply with legal obligations. Contact-form submissions and consulting-engagement records are typically retained for seven years to support ongoing client work and audit defensibility. SMS conversation records are retained for at least three years per FMCSA-adjacent recordkeeping practice.

You can request deletion of your information at any time by emailing info@infomaxci.com.

8. Your rights

Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, and the right to opt out of certain processing activities. To exercise these rights, email us at info@infomaxci.com and we will respond within 30 days.

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, and the right to opt out of the sale of personal information (we do not sell personal information).

9. Children’s privacy

Our services are intended for motor-carrier business owners, safety managers, and compliance professionals. We do not knowingly collect personal information from children under the age of 13. If you believe a child under 13 has submitted information to us, please contact us at info@infomaxci.com and we will delete it promptly.

10. Security

We use commercially reasonable measures to protect the information we hold. No system is 100% secure; if you have reason to believe your interaction with us is no longer secure, please notify us immediately at the contact information below.

11. Changes to this policy

We may update this Privacy Policy periodically. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be communicated via the contact information you have provided or through a notice on our website.
